Agreements for business use

Terms and conditions

Clear agreements about the service, your documents and your subscription.

Draft version · 16 October 2026

1. Parties and applicability

Supplier: [LEGAL NAME], trading as anonimize, established at [STREET, NUMBER, POSTCODE, MUNICIPALITY, COUNTRY], company registration number [COMPANY NUMBER], VAT number [VAT NUMBER, IF APPLICABLE]. Contact: [CONTACT EMAIL] and [PHONE NUMBER].

Customer: the company, self-employed professional, public authority or other organisation purchasing the service, identified in the confirmed order. The person taking out a subscription on behalf of the customer must be authorised to do so.

These terms are intended for business use of the web application and associated API. A separate written order may contain additional arrangements. In a conflict, the specifically confirmed order takes precedence. For personal data processing, the data processing agreement takes precedence over these terms and conditions. Mandatory statutory rights always remain applicable.

The customer receives the applicable terms before concluding the agreement and can save them using the browser's print or save function. The date, version, order and express acceptance are recorded when the agreement is concluded. Visiting this website alone does not constitute acceptance.

2. The service and your review

anonimize helps detect, remove and replace personal data in text and documents. Depending on the settings chosen, you can anonymise, pseudonymise, review and export results, and restore pseudonyms using the appropriate reversal key. Formats, technical limits and available features are listed in the app.

The supplier performs the service with due care. Automatic detection and OCR may miss or incorrectly recognise data. Before using or sharing results, the customer assesses the detected data and the remaining context, metadata and any unprocessed elements. A label or the choice of “anonymise” does not prove that a person is no longer reasonably identifiable.

Pseudonymisation remains personal data processing. A reversal key or combination with other information may enable identification. The service supports the customer's own privacy obligations; it does not guarantee complete anonymisation or general GDPR certification. This does not affect the supplier's statutory obligations.

3. Account and permitted use

The customer determines which users have access and which permissions they need. The customer keeps account details accurate, protects passwords, uses two-factor authentication where appropriate and removes access when it is no longer needed. Suspected misuse or a security incident must be reported as soon as possible to [SECURITY EMAIL].

The customer only processes data for which a valid legal basis and the necessary rights exist. The customer assesses in advance whether special category data, personal data relating to criminal convictions and offences, professional secrecy or sector rules require additional arrangements and security. Such data may only be processed when the written processing instructions and security measures are suitable for it.

The service may not be used for unlawful purposes, to bypass other people's access controls, to conduct security testing without permission or to deliberately disrupt availability. Technical defects can be reported confidentially to [SECURITY EMAIL]. This provision does not restrict lawful reporting to a competent authority.

The customer keeps their own backups of necessary documents and any vault or reversal keys through a secure channel. Losing a customer-managed vault key may make restoration impossible. The supplier may not shift its own statutory security obligations onto the customer.

4. Intended prices and credits per replaced word

The app is still being prepared. This is the intended credit model, not a statement that the current application already calculates it. The model only applies once the final functionality, price and counting method have been established in the app and confirmed order before paid processing. Nothing is charged on the basis of this draft page.

The agreed monthly price, included credits, payment period and any taxes are shown before payment. The confirmed order is decisive. Additional paid capacity or another plan is only purchased after separate customer confirmation.

One credit represents one word actually anonymised or pseudonymised at one location in the input. We count words separated by spaces or other whitespace in the original text being replaced. Unchanged words do not count. Repeated occurrences each count separately; a name containing several words is counted per word. For example, replacing “Lena Voorbeeld” costs two credits. If that full name appears twice and is replaced both times, that is four credits.

The count covers all files in the processing operation. A batch does not have a fixed price of one credit. A new processing operation counts words replaced or removed again. Reviewing and correcting an existing result, downloading and restoring text cost no additional credits. Failed processing that produces no result costs no credits.

Monthly credits are shared by the users, workspaces and projects of the same organisation. Unused credits expire at the end of the relevant subscription period and do not roll over. Deleting a successful result does not reverse usage. The app must show the calculated usage with the result; the supplier investigates reported counting errors and corrects incorrectly charged usage.

5. Subscription, payment and termination

A paid subscription starts only in accordance with the confirmed order and successful payment confirmation. A selected plan without confirmed payment is not proof of an active subscription. Payment and invoicing may be handled through the payment provider offered in the app; document content and reversal keys are not payment data.

The term, any automatic monthly renewal, next billing date and cancellation options are stated before purchase. The customer may cancel further renewal through the billing portal offered by the app or via [CONTACT EMAIL]. The supplier confirms receipt and the end date. No new subscription period is charged after the confirmed end date. A different minimum term only applies when expressly agreed.

If payment is not received, the customer is notified and given a reasonable period to resolve the issue. The supplier may then temporarily restrict new paid processing to the extent proportionate. In the event of errors or a disputed invoice, the parties first seek a solution. Any refund or compensation is assessed under the agreement and applicable law; statutory entitlements are not excluded.

In the event of a material breach, either party may request in writing that the other remedy it within a reasonable period. If no remedy is provided or remedy is impossible, the agreement may be terminated under applicable law. Export, return and deletion on termination follow the data processing agreement. Save necessary exports and keys before access ends.

6. Documents, intellectual property and confidentiality

The customer retains their rights to submitted documents, text and results. The customer only authorises the supplier to process this data for the agreed service and documented instructions. This authorisation does not permit selling document content, advertising profiling or model training using that content.

Rights to the service's software, design and documentation remain with the supplier or its licensors. The customer receives a right to use the purchased service for the duration of the agreement. Third-party component licences continue to apply where relevant.

The parties treat confidential information confidentially and only grant access for performing the agreement, subject to appropriate confidentiality obligations or where required by law. A statutory disclosure obligation is notified in advance to the extent permitted. Confidentiality continues after the agreement ends for as long as the information remains confidential.

Document content processing is detailed in the data processing agreement. See the security explanation for the technical operation and its limits. Account, contact and billing data may serve a separate purpose and must be described in the applicable privacy information.

7. Availability, support and changes

The supplier endeavours to provide reliable and secure operation, but without a separate written agreement there is no agreed fixed uptime percentage, recovery time or continuously available helpdesk. Maintenance, outages and security measures may affect availability. Planned maintenance with a noticeable impact is announced in advance where reasonably possible.

In the event of a specific security risk, unlawful use or serious technical disruption, the supplier may suspend the affected use temporarily and to the smallest extent possible. The customer receives an explanation and restoration updates unless this would harm security or a statutory obligation. A suspension lasts no longer than necessary and does not remove the customer's statutory entitlements.

Questions and complaints can be sent to [CONTACT EMAIL]. Provide a useful description and do not share sensitive document content or keys without an agreed secure channel. Support does not receive unrestricted access to documents.

Material changes to prices, the service or terms are communicated directly in advance, stating the reason and effective date. They do not apply retroactively. If a change materially disadvantages the customer, the customer may terminate the continuing agreement before it takes effect without charges for subsequent periods. Changes to processing arrangements and subprocessors also follow the procedures in the data processing agreement.

8. Liability and disputes

Each party is responsible under applicable law for damage resulting from a breach attributable to it. The parties report problems promptly and take reasonable steps to limit damage. The customer's duty to review results does not release the supplier from its own contractual or statutory responsibility.

These draft terms contain no general exclusion or fixed financial cap on liability. Any separately agreed limitation must comply with mandatory law and does not apply to intentional misconduct, gross negligence, harm to life or physical integrity or other liability that cannot lawfully be limited. Data subjects' rights under the GDPR, including Article 82, remain unaffected.

The parties first discuss disputes through their contact persons, without restricting the right to a competent court or supervisory authority. Governing law: [GOVERNING LAW — TO BE CONFIRMED]. The competent court is determined by the applicable statutory jurisdiction rules unless the parties make a valid additional agreement.

If a provision is invalid, the remaining provisions continue to apply to the extent that the agreement can continue without it. Any replacement provision must be lawful and respect the balance between the parties.
